How to Install Zoom for Outlook Calendar Plug-in

The Zoom for Outlook add-in is designed to manage scheduling within your Outlook desktop application. The add-in allows you to easily add a Zoom meeting to any new or existing calendar event.

Note: To install Zoom for Outlook, it must be installed on your normal CBC on-campus computer. If you are connecting from home via VPN, these instructions will not work on your personal home or CBC loaner computer.

  1. Close Outlook.
  2. Log into Zoom using SSO as you normally do.
  3. Click on the Windows Start menu and type Software Center. Click on the Software Center application. If you don't see this option, make sure you are looking on your normal, on-campus CBC computer.

  1. Click on Zoom Outlook Plugin.

  1. Click Install.
  2. Reopen Outlook.
  3. Open a new meeting request and click the new Schedule a Meeting button in the Zoom tool group.

  1. You will see the familiar Zoom scheduling window. Select your desired security and joining options. It is important to check Force include Join URL in location field (you may have to expand the Advanced Options by clicking the arrow next to it). This will be remember for future meetings and makes it easier for invitees to know this is a Zoom meeting. Click Continue.

  1. It will copy all the Zoom invitation information directly into the meeting for you. Complete the meeting as normal.

Installing Zoom Outlook Plug-In Option 2 (Outlook for Windows)

  1. Open a web browser (Chrome, Firefox, Edge) and navigate to the Zoom download page: https://zoom.us/download
  2. Click on the button for installing the "Zoom Plug-in for Microsoft Outlook".

  1. After the install completes, open your Outlook app for Windows or if open already, restart (close/open) the app.
  2. You should see the Zoom buttons appear in the "Zoom" section under the "Home" tab.

  1. You can use the buttons to schedule a Zoom meeting or to instantly start a meeting.

Installing Zoom Outlook Plug-in Option 3 (Outlook Web App)

  1. Open a web browser (Chrome, Firefox, Edge) and navigate to the Zoom download page: https://zoom.us/download
  2. Click on the button for installing the "Zoom Plug-in for Microsoft Outlook".
  3. Log into your Outlook Web App using your preferred web browser (Chrome, Firefox, Edge).
  4. Open your Outlook Calendar and click on "New Event". 

  1. In the New Event menu, navigate to the Ellipsis icon (...) and select "Zoom".  You should see an option to "Add Zoom Meeting" to your calendar event.

  1. After clicking "Add a Zoom Meeting", you should see a pop-up window asking for you to log in with your Zoom account.  Make sure you choose the "SSO" option.

  1. The next pop-up will ask for the Zoom portal you want to connect to. Type in "columbiabasin" and click "Continue".

  1. You should now see your Zoom meeting added to your calendar event.
