How to Delegate Time and Labor Approvals Supervisor Guide

Purpose: This guide is for setting up Delegations in Manager Self-Service.

Audience:  All Supervisors of Time Reporting Employees

Note:  The Delegations tile in Manager Self-Service should be used when a supervisor will be out of the office for an extended period of time. This is to ensure their employees’ timesheets are reviewed and approved in a timely manner while the supervisor is out (ctcLink uses the term “manager,” while certain CBC documents and policies use the term “supervisor.”).

  1. Sign into ctcLink and click on HCM Self-Service on the left side of the screen.Uploaded Image (Thumbnail)
  2. Go to your Employee Self Service drop down centered at the top of the page. Click on Employee Self Service to switch to Manager Self Service.Uploaded Image (Thumbnail)
  3. The Manager Self Service page will display. Click the Delegations tile.Uploaded Image (Thumbnail)
  4. The Delegations page will display. Click Create Delegation Request.Uploaded Image (Thumbnail)
    Note: The delegation process has a total of four easy steps.
     
  5. Step 1 of 4: Delegation Dates.Uploaded Image (Thumbnail)
    Note: It is important to make sure to add an end date. You will also need to add a comment in order to continue with the delegation request. A brief explanation such as “Vacation” or “out on extended leave” will suffice.
     
  6. Step 2 of 4: Delegates. This is where you will select who your delegate will be. It is important to note, you must           select an employee who has access to Manager Self-Service and will be able to view your employees’ timesheets (another supervisor).
    1. Click on the Add Delegate icon. An Add Delegate pop-up will appear with a magnifying glass to search for an employee.Uploaded Image (Thumbnail)
    2. Using the Search Criteria, you are able to look up an existing supervisor by Last Name, First Name, or Employee ID.Uploaded Image (Thumbnail)
    3. Click search and a list of names will pop-up for you to select the correct employee.Uploaded Image (Thumbnail)
    4. Click the Next icon on the right-hand corner to go to the next step.
  7. Step 3 of 4: Transactions. The description of all applicable functions you would like the delegator to approve will display. You can click on the Select All icon or you can manually click on the applicable tasks you are wanting the delegator to have while you are out. Uploaded Image (Thumbnail)
  8. Step 4 of 4: Review and Submit. You want to view all of the start date, end date, delegate, and transactions that you will be submitting for the delegator to review and accept to take on. Uploaded Image (Thumbnail)
