Managers - How to Review and Approve Absence Requests

Purpose: This guide is for reviewing and approving absence requests (vacation, sick leave, etc.) for employees you supervise in ctcLink. This process replaces approving leave submitted in the Time and Leave Reporting (TLR) System.

 

Audience: All Supervisors

 

Note:  Nothing changes submission of leave for employees per applicable collective bargaining agreements or CBC policies.  While Overtime-Eligible Classified Staff, Temporary Hourly and Student Employees submit leave for the specific amount of time they are absent from a scheduled workday (time-clock accounting), Overtime-Exempt or Salaried Faculty and Staff submit in whole day (8-hours) or half-day (4-hours) increments.

 

  1. Sign into ctcLink and click on Human Capital Management (HCM) Self-Service on the left side of the screen.

 

  1. Go to your Employee Self Service drop down centered at the top of the page. Click on Employee Self Service to switch to Manager Self Service.

 

  1. The Manager Self Service page will display. Click the Approvals tile.

 

  1. The Pending Approvals page will display. Click Absence Request on the left panel.

  1. Select the Absence Request that needs to be approved. Select Approve in the upper right corner.

 

Note: Use of the “Comments” field is optional when approving an absence.

  1. If you choose not to approve, you can click Pushback to return the request to the employee to resubmit or Deny to deny request.Title: Submit - Description: Screenshot of Submit button to confirm approval of absence request.

 

  1. Click Submit to confirm.

 

Note:  If you approve an Overtime-Exempt Faculty or Staff employee’s leave in other than whole day (8-hours) or half-day (4-hours) increments it will be pushed back to the employee for correction.
