Modifying Cash Advances

Navigation:  NavBar > Navigator > Travel and Expenses > Cash Advances > Create/Modify

  1. The Cash Advances search page displays.
  2. Select the Find an Existing Value tab.

  1. Enter a Search Criteria. You can search by your Empl ID (ctcLink ID), or the Report ID if you know it.

  1. Select the Search button.

 

  1. Once the Search Results display, select the Report ID or any of the hyperlinks to display the Modify Cash Advance page. If you only have one in the system the form will open when you click Search.

  1. The Modify Cash Advance page displays.

  1. If you are modifying the budget, expand the Accounting Details to expose the ChartFields.​​​​​

A full budget contains:

Account: This value will default automatically for the Cash Advance

Oper Unit: Always 7190.

Fund:

Dept: By default there will be a Dept code here start with a “9” this is not your budget’s Dept code, please ensure you enter the appropriate code here as well.

Class:

Approp (Appropriation Index): Not all budgets will have an Approp

State Purpose: Always N.


Grant budgets also contain: PC Bus Unit (always WA190), Project, and Activity, but Cash Advances do not have these fields so you will submit without.


Please reach out to Budget Services or Travel for assistance in obtaining your budget.

 

  1. Use the Add a New Row [+] icon to create additional lines or the Delete a Row [-] icon to remove lines.

 

  1. Click on Save for Later to save/update your changes.

 

  1. If you are ready to submit, click on Summary and Submit.
    1. Select the checkbox to certify that the expenses submitted are accurate and comply with expense policies.
    2. Select Submit Cash Advance.

  1. The Cash Advance Submit Confirmation page displays.
  2. Select OK.

Expense Report Submit Confirm page

  1. Process complete.
